Privacy Policy

In short: Kovtel is a dashboard that connects to your own Twilio account. We never sell your data. We never sell or share phone numbers, message content, or messaging consent with third parties or affiliates for marketing or promotional purposes, under any circumstance. Your Twilio Auth Token is encrypted and never shown again after you save it.

1. Who we are

Kovtel ("Kovtel", "we", "us", "our") provides a web‐based dashboard that connects to a customer's own Twilio account to make it easier to manage phone numbers, messages, calls, balance and usage. Kovtel is independently developed and operated; it is not owned, operated, endorsed by, or affiliated with Twilio Inc. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Who this policy covers

This policy applies to two groups of people, and we're explicit about which sections apply to whom:

  • Account Holders, the business or individual who signs up for Kovtel, connects a Twilio account, and uses the dashboard.
  • End Users, the people who call or text the phone numbers an Account Holder manages through Kovtel (for example, an Account Holder's customers). Kovtel does not have a direct relationship with End Users; their information reaches Kovtel only because it passes through the Account Holder's own Twilio account, which Kovtel displays back to the Account Holder.

If you are an End User and want a message or call record removed from an Account Holder's Kovtel dashboard, please contact that business directly, since they control their own Twilio account and Kovtel acts on their instructions.

3. Information we collect

a) Information you give us directly

  • Name, email address and password (stored as a salted hash, never in plain text) when your Kovtel account is created.
  • Your Twilio Account SID and Auth Token, which you provide to connect your Twilio account. The Auth Token is encrypted with AES‐256 before it is stored and is never displayed again once saved.
  • Any contact names, notes, tags or number configuration (auto‐reply text, forwarding numbers, voicemail greetings) you add inside the dashboard.

b) Information synced automatically from your Twilio account

Once connected, Kovtel reads the following directly from the Twilio API using your credentials, and stores a copy so the dashboard loads quickly:

  • Phone numbers you own, their capabilities and configuration.
  • Message metadata and content (sender, recipient, body, status, timestamps, delivery/error codes) for SMS and MMS sent or received through your numbers.
  • Call metadata (sender, recipient, duration, status, timestamps), call recordings, and transcriptions where available.
  • Account balance and usage/billing records reported by Twilio.

c) Information collected automatically

  • Login timestamps and the IP address used to sign in, kept for security and audit purposes.
  • Basic technical data (browser type, device type) needed to render the dashboard correctly.

4. Messaging & calling data disclosures

Because Kovtel displays and helps configure SMS and voice communications sent through your Twilio numbers, the following disclosures apply to that messaging and calling activity:

  • No sale or sharing for marketing. Mobile phone numbers, message content, and any messaging consent or opt‐in/opt‐out status are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Full stop.
  • Message frequency varies. How often an End User receives messages depends entirely on how the Account Holder configures their number (for example, a single auto‐reply per inbound text). Kovtel does not send bulk or marketing messages on its own initiative.
  • Message and data rates may apply for the End User's carrier plan on any SMS sent or received through a Kovtel‐connected number.
  • Opt‐out. An End User can reply STOP to any text message to stop receiving further messages from that number, and HELP for assistance. This is enforced at the carrier and Twilio level, independent of Kovtel, and Kovtel reflects that opted‐out status back to the Account Holder.
  • Consent is the Account Holder's responsibility. Kovtel is a management tool, not the originator of messages. The Account Holder is responsible for obtaining and documenting proper consent from their own End Users in line with Twilio's Messaging Policy and applicable law (see our Terms & Conditions).

5. How we use information

  • To operate, maintain and secure the Kovtel dashboard and your account.
  • To synchronize and display your Twilio numbers, messages, calls, recordings, balance and usage.
  • To automatically configure webhooks on numbers you manage, so inbound texts and calls are handled the way you've chosen.
  • To send you service notifications you've opted into (for example, low‐balance alerts, new voicemail, inbound message alerts).
  • To provide support when you reach out by WhatsApp or email.
  • To detect, investigate and prevent fraud, abuse or security incidents.
  • To comply with legal obligations.

We do not use your data to train third‐party AI models, and we do not run advertising based on your messaging content.

6. How we share information

We do not sell your personal information or your messaging data. We share information only in these limited cases:

  • Twilio Inc., the underlying communications provider. Every message, call and number in Kovtel already lives in your own Twilio account; Kovtel reads and writes to it using the credentials you provided. Your relationship with Twilio is governed by Twilio's own Privacy Policy.
  • Infrastructure providers who host our application and database under contractual confidentiality and security obligations, solely to operate the service.
  • Legal and safety reasons, if required to comply with a valid legal process, or to protect the rights, property or safety of Kovtel, our users, or the public.
  • Business transfers, if Kovtel is involved in a merger, acquisition or asset sale, in which case we'll notify you before information becomes subject to a different privacy policy.

7. Data security

  • Your Twilio Auth Token is encrypted at rest using AES‐256 and is never rendered back to the browser after it is saved.
  • All traffic to and from Kovtel is encrypted in transit (HTTPS/TLS).
  • Passwords are hashed, never stored in plain text.
  • Every inbound webhook from Twilio is cryptographically signature‐verified before being processed.
  • Access to the dashboard is limited to authenticated, invited administrators only, there is no public sign‐up.

No method of transmission or storage is 100% secure; we work to protect your information but cannot guarantee absolute security.

8. Data retention

We retain synced message and call data for as long as your Kovtel account is active, so you have a continuous history to search. Operational logs (webhook events, sync logs) are pruned automatically after 30 to 90 days. If you disconnect your Twilio account, your synced history remains in Kovtel (read‐only) until you request deletion; your Twilio credentials are not retained once disconnected.

9. Your rights & choices

Depending on your location, you may have the right to:

  • Access a copy of the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your account and associated data.
  • Export your data in a portable format.
  • Withdraw consent for optional notifications at any time from Settings.

To exercise any of these rights, contact us using the details in Section 14. We will respond within a reasonable time.

10. Children's privacy

Kovtel is a business tool intended for administrators aged 18 and over. We do not knowingly collect personal information from children.

11. International transfers

Kovtel is operated from India. If you access Kovtel from outside India, your information may be transferred to, stored, and processed in India or wherever our infrastructure providers operate, with appropriate safeguards in place.

12. Cookies

This marketing website uses only strictly necessary, first‐party technical data (such as remembering your navigation) and does not use third‐party advertising or tracking cookies. The Kovtel dashboard uses a session cookie solely to keep you signed in securely.

13. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above, and where appropriate, we will notify Account Holders directly.
